Solution to notify different program managers for Jira items in Structure

We run small teams of program managers (~10-15) with different Jira projects but who share a common issuetype used for reporting.

Given some data issues, we created a Jira audit structure to check several data quality rules on this issuetype across projects.

One rule can contain Jira items from multiple projects managed by different folks.

The rules are either "information missing in the field" or "information incorrect in the field."

When a Jira item breaks one of these rules, our reporting and business could be affected.

I am looking for a mechanism or solution that would regularly raise awareness of the appropriate program management so that they can fix the issues.

Previously, we combined those rules in a saved filter and sent the output to a DL using the subscription feature.

However, we need to be more granular in the rules, and I would like to be less noisy with the team, as they tend to ignore future notifications.

Would someone have any solution?

Hello @marc_olivier

If you're looking for a way to send users notifications if they entered incorrect data in a particular field, then it's not possible to achieve in Structure - there is no functionality for sending any notifications. However, you can achieve something similar without notifications. For example, there could be a filter in a structure that only displays issues that should be edited, and users can open the structure once in a while to see if there is anything in it that requires their attention. Or such a structure can be shown on a Jira dashboard, if this is something that users regularly see during work.

Alternatively, instead of a filter applied to the structure, you can use the Formula column that can highlight issues where editing is required.

But if you specifically want users to be notified without them looking in the structure, then I suggest to look into scripting and other solutions that can trigger Jira notifications.

I hope this helps. If you have any questions about Structure, please reach out to us directly at our support portal and we'll get back to you shortly.
