Hi everyone,
I am trying to build a process handbook for our company but not every department is supposed to see every article.
I was thinking about setting up different spaces per team so that each can only see part of the handbook. I also thought about using mirroring as a tool in order to keep the workload managable because I don't want to set different restrictions per page or section because it's a very big handbook and that would be too much work.
Is there an easier way to share articles or trees from one source with different groups? Please keep in mind that were are a lot of links in the articles that lead to other articles with different restrictions.
Please let me know if my request is not clear enough and I will be happy to elaborate.
Thank you very much in advance!
Pascal
Pascal,
View restrictions are inherited, meaning if you apply the restriction to a parent page, it will cascade down into the child pages. This may help you considering it's a lot less work if you apply the permissions this way. Have a look at Page Restrictions for more details.
Otherwise, it would just make more sense to keep the pages they can see in one space, and the ones they shouldn't in another.
In addition, there's something called the Excerpt Include Macro which allows you to include excerpts in one page from another. HOWEVER, the restrictions are inherited, meaning that if one excerpt comes from a page that a user is locked out of, even if the user has access to the page that has the excerpt include macro on it (referencing the page that is restricted), they won't be able to see the excerpt on the page. I'm just mentioning this in case you come across it, so you're aware of the limitations.
I'm including your question in the Marketplace Apps collection, in the event that there is an add-on that could help you with this.
Regards,
Shannon
