Delegation for approvals

Dears,

Is there any idea or workaround for delegate approvals in can of vacations or anything else ?

It happens quite often that the approver is OOO, especially towards the end of the year like right now. Appreciate if this Delegation for Approvals could be added @Jaime Capitel _resolution_

Jira has no built-in mechanism for delegating permissions. Most people try to solve this by setting permissions based on assignees of issues and then changing assignees when people go on vacation. (There are actually some apps that automate this). There are several drawbacks to this approach.

  1. You have to change the assignees when people go on vacation and change them back when people come back from vacation.
  2. When the issue is assigned to another user, the original user loses his/her permissions.
  3. Those changes of assignees create unnecessary issue history.
  4. This solution works only for issue workflow permissions. The same problems become more pronounced when you try to do the same for permission schemes or other schemes.

 

Our team at OBSS built Keychain - Delegation for Jira to solve this exact issue. It is available for Jira Server and Data Center.

Keychain introduces new workflow conditions, post functions, and custom field types to your system. You make your configuration once. After that, you define delegates for users in your system. No changes on issues are required.

Your users can define time-boxed delegates for themselves or authorized people in your organization (like HR) can define delegations for other users. Delegations become active when the given date window starts and ends when the date window ends. 

You can even delegate permissions based on categories and delegate different permission categories to different people.

Hi Mohamed, 

There is currently no option for delegate approvers.

I can think of two relatively easy work arounds for this:

  1. If the delegate approver is known, add them to the approvers field (or whatever field your specific approval function uses). 
    This only works if the approval needs only x numbers of approvals. If it needs all approvals you will need to remove the original approver from the field and add the new one. Jira will record who approved the issue so there is a paper trail.
  2. Have a transition that bypasses the approval for cases like this.
    How you limit this transition is up to you (maybe only certain users, or users in certain groups can use this transition, for example). This can also come in handy if a request needs to be expedited in case of an emergency.
