Looking for tips storing transition info (who, when) to a field for reporting

Paul Gryfakis February 1, 2018

I am working on a worklfow that requires 3+ levels of approval.  I was asked if I can display and report on approval activity (who & when) so that the approver can easily see the history of an issue.   I can see the need to only show the approvers and dates they approved, and also store all transition activity.

Any tips on best way to capture this for reporting?

You can also create a Scriptrunner scripted field which looks at the history and determines who did the approvals. I did something similar a few years ago to create a script field which displays who last changed a particular custom field.

This approach, like the JMCF Transition caller and Transition Date/Time suggested by David, has the advantage of working for approvals which happened prior to implementing your changes.

There are two approaches to storing transition history:

  1. you capture the information during the transition, and store it in custom fields. For example, you could store the currentUser into an "Approver 1" single user picker field, and "new Date()" into an "Approved 1 on" date field, using the Set Field Value post-function on the "Approve #1" transition
  2. You could use Jira Misc Custom Fields' (JMCF) "Transition Caller" and "Transition Date/Time" custom fields to give access to the author and date of any given transition. The advantage of this approach is that it will work even for past transitions (before you put the fields in place).

Thanks David.  I'll dig in and take a closer look at these options.

Paul.

  • What plugin are you using to manage the approvals?
  • What plugins do you have available for adding behaviors to Jira?

We have Jira Workflow toolbox and Jira Misc Workflow Extensions to enhance workflow.
