I only have limited no. of Jira users so when a user leaves the company, I have to delete his account.
Is there a way to just deactive his account so I can keep the history of his work (and my no. of Jira users is not all used up)?
If not, how do I delete his account? I have reassigned all the tickets he has but when I try to delete his account it says: Issue comment (4)... so I think I have to find all the issues he has commented on, right? and delete each one? Is there an easy way to do this? I couldn't possibly manually find all the tickets he has commented on.
Thanks.
How about revoking this user from the Application Access option? This will reduce the license headcount by one; this is how OnDemand controls license counts.
Hi,
So, back to the original question: How can users with issue comments be deleted?
Revoking Application Access is not an acceptable approach for us as it leaves traces of the users names into the system.
Thanks,
KS

It is highly recommended to deactivate an account and not delete it.

Hi Bhushan, Thanks for answering.. but I don't have the "active checkbox" when I click on Edit
It only shows the full name and email fields
and then the buttons: Update and Cancel

Neither do I. I do have also a OnDemand version and the "Active Checkbox" does not exist
So which is the solution? I have clicked in so many links and they are not available any more

It is not acceptable due to GDPR to not be able to delete a user completely. I also need a solution here!

It seems that you can anonymize users! (:

Just came across this and wanted to mention that I also recommend you remove the deactivated user from any groups they are associated with. That should keep them from being mentioned or notified.
Hope this helps!

Old thread, but thought I would mention that making a user inactive (editing user and unchecking the Active checkbox) automatically removes them from all groups they are assigned to. At least on my server version 7.11.

HI
I am using self hosted instance of Jira and i followed your advice . But removing user from all groups and making them inactive doesn't reduce license account.

Did you edit the user and uncheck the Active checkbox? That should display the user with a line striked through their name. If their name displays with a line through it they should not be counting towards the license count. You can filter your view of users by choosing application access Jira Software and then Active and Inactive status to double check to see who is licensed. Check out my screen shot showing an inactive user as viewed by the filter.

thanks guys!
yeah, it is in the application access checkbox.
just need to uncheck the application access checkbox to decrease the user license count for on demand without deleting the user.

You need to be looking at the document here for OnDemand. It works a little differently.

which version of jira you are using?
the deactivate feature is availble from jira 5.x or 5.2 so if you are using previous version you can't deactivate.
what you can do is you can prepend some thing like "INACTIVE " to name of the user

i'm using ON DEMAND. i guess it doesn't have the deactivate option. if i prepend "inactive" it'll still use up my user license.
okay. if there's no way to deactive... i don't mind losing all history..
maybe can you recommend how i can find the tickets this user has commented on so i can delete his comments? there's no filter for this.
