Mirror card without to be a member of board

Good morning to all!

We have just introduced Trello as a task management tool in our marketing department and have now also developed a logic for how we can collaborate with several employees on tasks and still work for ourselves alone.

We have serveral boards for our different teams and every team member has his own board. Not every task should be sync between team board and member board. Only relevant tasks will be sync.

In fact, this logic cannot be realised.

We use "Butler" on the one hand and "Unito" on the other. Unito is supposed to take over the board-to-board synchronisation and Butler does the automations within the boards.

Now to the problem that we have:

Our head of department create a task on our team board. Now he assign a task to a member of the team through he move the card from Backlog to the list of a member. Butler assign now this card with the member which is provided by the list. Unito copy this card after that in the member board and keeps the cards in sync. But if a card has more than one member, Unito loose all other members except the owner of the member board.

Does every member of our organisation have to be a member of the board in order not to get lost during synchronisation?

Hey @Axel Hoga ! Just want to make sure I understand:

  • Board X has a card assigned to member A & B
  • Unito syncs the card to member A's board
  • Member A does not have member B added to their board
  • Expected result: card is created on member A's board with both member A and B assigned
  • Actual result: card is only assigned to member A

If that's the case, it's because member B isn't on the board. If you don't want to add all members to all boards, you could map the member field to the description instead so that the card in member A's board lists all the assigned members in the description.

Another alternative is to create labels "A" and "B" instead of adding members to the cards, and map those labels between your boards.

It's absolutely correct your these. This is our problem.

So far and during our do-it-yourself on-boarding we had a different view of Trello's idea and functionality, but now and after working with Trello for a while, we see that Trello has a different approach than we do.

Our focus is staff-centralized. Each staff has his own board and work only on that. Every staffboard were aggregate into the teamboard.

Trello's idea is task-centralized. Every Epic/Story/Project has his own board and one or many staff worked in there.

@Axel Hoga Unito is definitely a great tool to achieve those workflows between the different team member boards and main team boards. Let me know if the above solution answers your question, or if you still need more help :)

Your idea works well, but I must discuss this option with my other project members.

In my opinion it only shows which members are assigned in the card in the teamboard. This helps not for any further automations. You can not use any user shortcut "@username" and you can't use a checklist with divided tasks for user a, user b, user .... you know?

We have to compare Trello's way of thinking exactly with our way of working and clearly determine whether Trello is something for us at all, because both cost immense amounts of time and money until we are productive with it.
