Hi Everyone

1:

I teach art education, and we use Trello boards per semester where students post their weekly art education tasks. A few past students mistakenly created boards which are now attached to my list of boards. These students are no longer contactable; the only thing is they are the 'owners' of the boards so I cannot delete them. They are taking up the amount of boards available to me.

Is it possible to invite students to use the board without this happening again? Not every student does it, but when they do, its very frustrating.

See screenshot. I only want to keep Gallery 501, to duplicate it each time with another class. Screen Shot 2023-11-14 at 12.51.49 pm.png

2: I would like to one day upgrade to standard but as the number of students is unknown and they only use it for five weeks each time, does that cost me more as there is only me who would be permanent.

Thanks for your time.

Hi Julie, welcome to the community! Happy to assist with your questions.

1. The reason this happens - in a Free Workspace, even if you're a Workspace admin - you're not necessarily the admin of all boards created in the Workspace. You're admin of the boards you create, but boards created by other members - they are the admin (unless they invite you and make you admin). It looks like a few of your students have created private boards.

Good news is there's a workaround to get this sorted. If you start a Free Trial of Trello Premium (no credit card required or commitment to stay), you'll gain additional admin capabilities listed here: https://support.atlassian.com/trello/docs/workspace-admin-capabilities/. One of which being Workspace admins on Premium or Standard are admin of all boards created in the Workspace. Once you start the trial, you'll gain admin on these boards and be able to close / delete them: https://support.atlassian.com/trello/docs/closing-a-board/

2. Depends on how you invite the students.

If you invite them as a Workspace member (meaning they can see all Workspace visible boards), they are billable like you.

If you invite them as a guest to more than one board - making them a multi-board guest (but not as a Workspace member), they are billable like a regular Workspace member.

If you invite them as a single board guest (member of one board in the Workspace), they are non-billable. So, if these students only needed to be a member of a single board at a time, you wouldn't be charged for them. If they need access to more than one board, they would be billable. :)

We have a more detailed summary of how billing works in this article, but I'm also happy to provide additional clarification / detail if you need! :) Hope this helps.
