Create a template page from a selection of items

I'll start by saying I'm not entirely sure if confluence would be the right program for this, or if it would somehow be better in Jira, so I'll take advice for either! 

We create a Production Specification for each project that we do, but these are all generally the same, with maybe a few lines of variance here and there. I'd like to be to have a template/page where it lists all the previous product spec requirements. When I need to create a new product spec, I can select the relevant requirements and copy/export/generate a new PS linked to the new product from the requirements I've selected. Ideally I would also be able to add in any unique ones that are missing. 

As a bonus, I'd like to link each of these requirements to a test procedure to be used for verification. So after the PS is generated, I can also generate a design verification test plan based on the test procedure from the requirements. These would be two separate documents. 

Is this possible? Or is there a better program I can use to do this?

Hi Mike,

This is definitely doable! I'd recommend Confluence for this use case since you're dealing with document templates and spec generation.

Approach 1: Confluence Templates + Macros

  • Create a master template with all possible requirements
  • Use checkbox macros or content by label macros to show/hide sections
  • Copy template → check relevant boxes → generate your PS
  • Link to test procedures using page links or content by label

Approach 2: Confluence + Jira Integration

  • Store requirements as Jira issues with labels/components
  • Use Jira Issues macro in Confluence to pull selected requirements
  • Generate PS document dynamically based on Jira filters
  • Link test procedures as attachments or related pages

Approach 3: Database-style with Confluence

  • Create a "Requirements Library" page
  • Use table macros with all requirements
  • Copy/paste selected rows into new PS templates
  • Cross-reference test procedures

Bonus: You could automate the test plan generation using Confluence automation or Jira automation if you go the hybrid route.

Confluence is perfect for this - it's designed exactly for this kind of templated document workflow.

as a complement to Vitalii's second suggestion, the Viable Issues app would likely be very helpful for you. This app allows you to structure the creation of new production specifications directly within your templates, ensuring they're set up in the correct project with all the right information. This might be another excellent option to add more structure and consistency to your creation process. If you need any assistance with it, please don't hesitate to reach out.

Welcome to the community!

We used confluence pages initially for what you described, but linking test artifacts was getting challenging. So, we signed up for ease requirements that enabled us to tie the requirements /specifications to test artifacts and also provides a coverage matrix. Probably does more.

Ease requirements is a third-party extension for Jira.
