License and number of external users of Confluence

Frédéric AUBIN April 6, 2021

Hi,

I'm using google translate to write here, sincerely hope it's understandable.

I am currently with the free plan, but I would like to share some Confluence pages with my clients and partners, without therefore sharing all the project pages. To do this, I have to switch to the "Standard" plan.
Being the only user, I only need a license for a single user but my question is to validate here that I could share with several partners or customers, I estimate today the number between 10 and 50 .
Thank you in advance for your answers and have a good day!

Frédéric

Hi @Frédéric AUBIN

pretty fine understandable.

I see your way of thinking - Standard gives you the opportunity of anonymous access to your cloud instance. But as you already mentioned: You want to share separate parts of your Confluence with different users (or costumers as you said).

Please check out Global and space permissions and also different groups. When you work with different partners you pretty sure want to share different content with them and give them different permissions.

When you use only anonymous access this content will be available to everyone! But maybe this also an option for you if you have informations you wanna share publicly.

Hello and thank you Fabienne for taking the time to answer me.
I think I have a problem understanding the notion of anonymous user and access. So in a very practical way:
- I am the only one who needs to create spaces in Confluence, and to create pages within these spaces,
- each space will be "reserved" for a customer, so it can potentially have 50,
- and on each of these 50 spaces, I would therefore like to give collaborative access, in reading and writing therefore, on certain pages, but to only one person. This person must not be able to access other spaces.

So is this possible with the Standard plan for a single user?

Thanks in advance.

Hi @Frédéric AUBIN

You are right - except one point!

When you want to give access to a costumer for one space you have to create a user for this costumer! Means each costumer needs at least one user in your system because they need to log in!

Check this short instruction about permissions and restrictions in cloud.

@Frédéric AUBIN don't be confused - used my wrong ID

Hi @Fabienne Gerhard

I do not wish to question the pricing of Atlassian here, but in this case, having to buy 50 licenses for my need is not at all reasonable for a small company like mine. And in which case I still did not understand the "interest" of anonymous access.
Have a good day !

"anonymous access" means people without a confluence account can see the content, but they cannot edit it - this is useful in some cases for some people (sharing knowledge that doesn't need to be modified - like a university sharing rules with all their students)

if you need to control what 50 people can see and can modify, that will cost you $2500/year with a Standard confluence plan as of 2021.

Maybe sharing google docs instead with your clients is a "better" option?

Cheers!

Hi @Frédéric AUBIN

totally understand your trouble - you can also start with a smaller try (smallest package starts with 500$ a year) and try out permissions. There is no way around this if you want to have seperate access. Just a suggestion!

And as the text says:

When you change from Confluence Cloud Premium or Standard to Free, you’ll no longer be able to set permissions and restrictions.

  • We’ll keep any global permissions, space permissions, and page restrictions you’ve already set. If needed, you’ll still be able to open up spaces and pages to all users.
