Views Feature - sharing a calendar with outside users

Ana Santos November 27, 2024

Hello everyone!

Me and my team are exploring the new Views > Calendar Feature on JSM.

We have created a simple calendar view and tried to share via the share button with an email outside the organization:

Untitled.png

However, if the recipient of the shared link invite is not part of Jira, they are unable to open the calendar.

How exactly does this work? How is ti different form adding people to the Team with only viewer permissions?

Is there any way to make a calendar available to people outside out Atlassian project?

Thank you in advance!

Ana

Hi @Ana Santos

This is view based on raise JSM issues on the board/calendar.

This is only accessible or licensed JSM users, not customers (non-licensed). This is for JSM raised issues where a due date has been set.

Hi, Marc, thank you for clarifying.

Can you then please explain what is the difference between the "Share" function and the "Add people" function?

Thank you in advance!

Ana

The share option is to share information to licensed Jira users

Add People is to add any user in your system to a role on the project, the roles have permissions, these can be seen in the permission scheme

Any permission in the project permission scheme is related to a user being granted a JSM license, except the customer role.

This role relates to the permission, Service Project Customer - Portal Access, this doesn't require a license, but it only grants portal access to Jira.

Issue can be raise or commented, but usr can't get in to Jira and use project options like the calendar

Hi @Ana Santos ,

I’m Nick, and I work with the team behind Doitb LLC.

Unfortunately, I can’t offer advice specific to the calendar you shared in the screenshot. However, I’d like to recommend our Calendar for Jira app, which might address your needs. It allows sharing calendars on JSM portals, enabling access for non-Jira-licensed users. You can find detailed documentation on this feature here: How to allow non-Jira-licensed users to view a calendar.

Alternatively, our app also supports exporting calendars to external tools like Google Calendar, which you can then share with external users.

If you have any questions or need assistance, I’m always happy to help—feel free to email me at nick@doitb.com.
