I’m currently organizing workshops and hackathons as part of my campus ambassador and GDG On Campus roles. I use Jira for task tracking and Confluence for documentation, but I’d love to learn best practices for integrating both tools to streamline planning, execution, and post-event reporting.
Are there templates or automation workflows that work well for recurring events?
How can I ensure smooth collaboration between team members who are new to these tools?
Any tips for setting up dashboards or pages that scale across multiple events?
Looking forward to learning from others who’ve used Atlassian tools in community or educational settings.
Hi @Prateek ,
Welcome to the Community! Do you have more details on the specific requirements for your use case? You could create a portal where people can enter requests:
https://support.atlassian.com/jira-service-management-cloud/docs/set-up-and-manage-portal-access/
and also set an integration with a knowledge base in Confluence:
Hi @Prateek ,
Here are a couple of tips/ideas from my side.
Are there templates or automation workflows that work well for recurring events? |
There's a relatively new feature when it comes to recurring events, and here's the announcement for it: 🗓️ Save time by scheduling work in Jira This might give you some ideas but, generally, you can use scheduled trigger and create a custom automation based on your requirements. You could also check official template library/sandbox, but this might be a bit outdated. |

I generally recommend starting with official Atlassian Learning resources. Courses and paths related to getting started quickly really do make a difference, as they can get users onboarded quickly when it comes to app navigation and functionalities. 📚 These are general resources, but if you have some specifics within your company, it's recommended to document those as well and create an internal KB which will then be shared with everyone. |
Any tips for setting up dashboards or pages that scale across multiple events? |
Firstly, when it comes to Confluence and Jira integration, you could enable pages within your Jira project for easier documentation/content tracking. Also, when it comes to the integration of these two tools, there are a couple of courses such as this one that might give some insights. 💡 As for dashboards, it really depends on the requirements and what you're looking for. Out-of-the-box dashboards (here are also a couple of learning materials about that) are relatively simple and can be a nice starting point, but from my experience, for anything a bit more complex or advanced, customers tend to switch to Marketplace apps or third-party integrations (e.g. Power BI). |
Generally speaking, we always go with one or more spaces that are related to Atlassian and internal education (basically, a knowledge base). This space is shared with everyone in the company, and there is usually no restricted content. There are also separate spaces for each team where they can decide which content will be 'just for their eyes' and which will be shared with other departments.
Hope this helps.
Cheers,
Tobi
