How can we give access to more than 10 people on a Trello board with the free version?

We are a company of 4 people. We would like to invite 10 clients to a board. That would make a total of 14 people. We currently have the free version of Trello. How can we do this?

To solve this problem, if we upgrade to the Premium version, how many Premium subscriptions do we need exactly? 14?

Hey there, Maxime!

On the Free plan, Trello limits you to 10 collaborators per Workspace. That includes everyone — admins, team members, and guests — so with your setup (4 internal + 10 external), you’ll hit that limit.

If you want to invite all 14 people, you’d need to move to a paid plan. Here’s how it works:

  • With Premium, every “workspace member” counts as a billable seat.

  • Guests (people added only to a single board) are not billed, even if you have more than 10.

  • In your case, if the 10 clients only need access to one board, they can remain single-board guests for free. You’d only pay for the 4 of you who are actual workspace members.

So, you don’t need 14 Premium subscriptions. You’d just need 4 (for your team). The 10 clients can be guests without extra cost, as long as they stay on that one board.

If those clients needed access to multiple boards, then they’d become multi-board guests — and in that case, they’d also count as billable.

Their billing is Per user, per month - so yes, you would need to purchase a plan to add the 4 extra people. Free plan maxes out at 10 users.  Alternatively - you could make one Atlassian account for multiple clients - and then share the login details to multiple people. Or make one for your staff, instead of 4 individuals. This isnt ideal as the comments and such will all show as the same person/account - but if they dont need to make changes, and just look at stuff - it might work?
