How to allow members to submit a form, but NOT view the project?

Hi, I'm hoping someone can help me with a question about forms linked to projects. I'm a Jira newbie!

I'm creating a form that will allow employees to make requests - however, I don't want anyone to be able to view what other employees have requested.

I have tried to set the "Create issues" permission to "Any logged in user" and to "Public", and I've tried creating a new role that only has the "Create issues" permission, but nothing seems to work. When I link the form, they're told they don't have access.

Does anyone have any suggestions?

Welcome to the Community.

Can I confirm what type of Project the Form is being created within - is this Jira Service Management or Jira Work Management?

Here's how to find the Project Type...

  • Go to Projects (top navigation bar) > View All Projects
  • Locate your Project in the list
  • Copy/paste the Project Type from the "Type" column

I envisage this would be possible using an Issue Security Scheme.

All relevant Users will need permission to...

  • Browse Projects - so they can see it
  • Create Issues - so they can create work items

...however, post-creation you can limit Issue visibility on a per-Issue basis.

Create the Scheme

To create an Issue Security Scheme for this...

  • Go to Settings (cog icon in top-right) > Issues
  • Select Issue Security Schemes from the left-hand menu
  • Create a new Scheme - give it a name and press Add
  • Next, select the hyperlink Security Levels on the right-hand side
  • Add a security level - for example, User Access
  • Make this the default level, using the hyperlink Default
  • Next, select the hyperlink Add
  • In this step, you'll add who can see Issues - for example, you might add...
    • Reporter = Creator of the Issue, i.e the User
    • Project Roles = Your Team, so they can action the Issue?
    • ...etc

^ This should create an Issue Security Scheme - to be clear, the aim is to:

  • Provide a default Security Level, which restricts Issue access - Default should make this the Security Level for every Issue created.
  • Limit who can see the Issue to the Reporter - which will dynamically show creators their Issues, whilst hiding everyone else's
  • Give access to your team to "all" Issues, so they can action them

Apply to Project

To apply the Scheme...

  • Go to your Project, and access the Project Settings tab
  • Select Issue Security from the left-hand menu
  • Select Actions > Select a Scheme
  • Apply your new Scheme to your Project

Things to check...

  • Ensure in the Permissions Scheme, that only appropriate Users (or none, if preferred) have access to...
    • Modify Reporter - to ensure it remains the creator
    • Set Issue Security - to ensure Issues cannot be made public accidentally

So normal users can see all Issues, but Site Admins can only see their own?

Could you provide details of how you set up the Issue Security Scheme? A screenshot would be beneficial here :)

Sorry for the delay!

The issue I had was only Site Admins could view and submit the form to create a new issue. Members of our team with regular access were still being told they did not have access to the form.
