Statuses flow and permissions

Yael Geffen October 5, 2023

2 questions about status flow and permissions:

1. How do I limit the users that can send tickets from the status "Done" to "In Progress" or "To Do"? I don't want all users to have that option, as it will affect the developer's KPIs of the reopen count.

2. How do I create a specific flow for different issue types? For example, I don't want issue type of bugs to go "Backlog" but to "To Do", and the issue type "Reports" doesn't need to go over an approval process.

Hello @Yael Geffen

Are you working with issues in a Company Managed project or a Team Managed project?

1. Can be handled in the configuration of the transition in the workflow.

2. Jira supports creating workflows per issue type.

The exact method for doing each of these depends on the type of project you have.

Company Managed projects:

For #1 use Conditions:

https://support.atlassian.com/jira-cloud-administration/docs/configure-advanced-issue-workflows/

For #2 refer to managing workflows:

https://support.atlassian.com/jira-cloud-administration/docs/create-and-manage-issue-workflows-and-issue-workflow-schemes/

For Team Managed projects:

For #1 use Rules:

https://support.atlassian.com/jira-software-cloud/docs/available-workflow-rules-in-team-managed-projects/#Availableworkflowrulesinnextgenprojects-Restrictwhocanmoveanissue

For #2 refer to managing workfows:

Hi @Trudy Claspill

Thank you for your help, but unfortunately, this is too broad for me. I'm relatively new to Jira and tried to follow the steps for issue one, but it's not specific enough to what I need, and on the second issue I didn't even find the relevant information on the help guide you shared. I need a step-by-step from someone who already set up both things.

I'm working on a company-managed project.

If you are new to administering Jira I encourage you to make use of the training available at https://university.atlassian.com

Some of it is free while other courses do require a fee.

Here is a free recorded webinar that you might find useful in getting a better understanding of workflows and the use of Conditions and Validators

https://university.atlassian.com/student/page/1124386-jira-workflows-demystified-webinar

If you want to see examples of stepping through the process of creating a new workflow, adding it to a workflow scheme to associate it with a particular issue type for a project that uses the workflow scheme, you may want to look for tutorial videos on YouTube. Here is just one example of such a video that I found when using Google to search for "jira cloud manage workflows videos".

https://www.youtube.com/watch?v=MNona7YQxTI

I have not curated the videos that are available, since I have not needed these videos myself. I watched a portion of the above video and confirmed that it does apply to Jira Cloud, to Company Managed projects, and does appear to provide accurate information and step by step guidance. There may be other videos that are better, or that align more closely with your specific requirements.
